OVERVIEW:

Behavioral Aid Solutions (BAS) is a Community Mental Health Center with two facilities — in Doral and Sunset-Kendall — serving Miami-Dade County and, via Telehealth, families across Florida. Our team of 70+ licensed professionals provides counseling and psychotherapy, family and couples therapy, infant/toddler and child/adolescent mental health services, psychological testing, psychosocial rehabilitation, and targeted case management. BAS is a contracted mental health provider for Miami-Dade County Public Schools (MDCPS) — selected from hundreds of applicants as one of just 14 agencies through a competitive RFP process — and is recognized by the Doral Chamber of Commerce (Platinum Certified) and ChamberSouth. BAS is licensed by the Florida Agency for Health Care Administration (AHCA) and is an actively enrolled Medicare and Medicaid provider.

We are seeking an organized, detail-oriented, and bilingual Admissions Coordinator to serve as the first point of contact for clients and families, and to provide essential administrative support across our clinical operations.

POSITION RESPONSIBILITIES:

  • Serve as the first point of contact for clients and families, answering and managing incoming phone calls and directing inquiries appropriately.
  • Verify client insurance eligibility and benefits.
  • Enter and maintain accurate client information within the electronic health record (EHR) system.
  • Collect copayments and process related front-desk transactions.
  • Coordinate scheduling and communication with the Therapists/Clinical Team, Targeted Case Management (TCM) Department, Testing Department, and Billing Department.
  • Coordinate with partners and vendors as needed.
  • Maintain strict confidentiality of client information in compliance with HIPAA at all times.

QUALIFICATIONS:

Education

High school diploma or equivalent required. Associate's degree or relevant coursework in healthcare administration, medical office administration, or a related field preferred.

Experience

  • Prior experience in medical or behavioral health office administration, front-desk/reception, insurance verification, or customer service preferred.
  • Bilingual in English and Spanish (required).

Technical Skills

  • Proficient in Microsoft Word.
  • Proficient in Adobe Acrobat.
  • Proficient in Google Workspace (Gmail, Google Meet, and Google Drive).
  • Comfortable working within an electronic health record (EHR) system.
  • Comfortable navigating insurance web-based portals, with strong general digital and web proficiency.

Additional Requirements

  • Required to complete an AHCA Level II Background Screening, as mandated under Chapter 435, Florida Statutes.
  • Strong organizational skills, attention to detail, and professional phone and in-person customer-service etiquette.
  • Ability to coordinate effectively across multiple departments and with external partners and vendors.

REPORTS TO:

Lead Admissions Coordinator, Outreach Coordinator, or Outpatient Services Director, as assigned.

SCHEDULE:

This position works Monday through Thursday, 12:00 PM – 8:00 PM, and Friday, 11:00 AM – 7:00 PM. Coverage for two Saturdays per month, 10:00 AM – 3:00 PM, is also required.

COMPENSATION & POSITION TYPE:

This is a full-time, hourly, non-exempt W2 position in accordance with the Fair Labor Standards Act (FLSA). Compensation is competitive and based on experience.
